CANCELLATION / POSTPONEMENT POLICY:

1. Reservations may be cancelled or postponed before 30 days of the reserved arrival date, without any penalty incurred. Cancellations or postponements within 30 days of arrival date will be subject to the forfeit of the deposit due. If cancelled or posponed within 15 days of arrival date, the full rates and charges for the entire conference period will be payable by the client, less the revenue generated by Whispering Pines for rooms which we manage to let over the conference period after the date of cancellation or postponement notification is given.
2. All cancellation / postponement notifications are to be provided in writing.
3. Please note that this “Cancellation and Postponement Policy” applies even in the event that your reservation is postponed to a later date, unless the dates initially reserved are able to be resold by Whispering Pines, equal to or greater than the value of your proposed reservation charges.
4. Once the deposit has been paid and the reservation confirmed, we do allow reduction variations of up to 20% of the number of delegates booked for, without incurring charges according to the above “Cancellation and Postponement Policy”. Within 3 days of the reservation arrival date, all heads indicated as attending will then be charged for, plus additional should extra heads arrive.
