PAYMENTS:
Deposits:
Please note that in order to secure your reservation, you can do one of the following:-

1. Provide us with your credit card details when confirming your reservation. We do not charge your card until check-out, or if you fail to arrive without canceling directly with us (see our cancellation / postponement policy below).
2. You may deposit 50% of your estimated accommodation invoice directly into our bank account, the details of which we can provide you when making your reservation with us, either telephonically or by e-mail.

Cancellation / Postponement Policy:
The following rules apply for reservation cancellations or postponements:-

1. LEISURE GUESTS: (up to two room reserved):-
   1. Your deposit payment will be forfeited if you cancel or postpone your reservation within 7 days of your reserved check-in date.
   2. In the case of providing your credit card details to secure your reservation, we will charge your credit card for the deposit due – i.e. 50% of reserved room rate for the full reserved period.
   3. We will refund deposits (in full or partial) if we are able to re-let the reserved rooms for the full reserved period / revenue.
2. CONFERENCE / GROUP GUESTS: (Three or more rooms reserved)
   1. Reservations may be cancelled or postponed before 30 days of the reserved arrival date, without any penalty incurred.
   2. Cancellations or postponements within 30 days of arrival date will be subject to the forfeit of the deposit due and if within 15 days of arrival date, the full rates and charges for the entire conference period will be payable by the client, less the revenue generated by Whispering Pines for rooms which we manage to let over the conference period after the date of cancellation or postponement notification is given.
   3. All cancellation / postponement notifications are to be provided in writing.
   4. Please note that this “Cancellation and Postponement Policy” applies even in the event that your reservation is postponed to a later date, unless the dates initially reserved are able to be resold by Whispering Pines, equal to or greater than the value of your proposed reservation charges.
   5. Once the deposit has been paid and the reservation confirmed, we do allow reduction variations of up to 20% of the number of delegates booked for, without incurring charges according to the above “Cancellation and Postponement Policy”. Within 3 days of the reservation arrival date, all heads indicated as attending will then be charged for, plus additional should extra heads arrive.
